Job Title: Finance Administration Assistant

We are currently seeking a detail-oriented and motivated individual to join our finance team as a Finance Administration Assistant.
Job Overview:
As a Finance Administration Assistant, you will play a crucial role in supporting the finance department with administrative tasks and ensuring accurate financial records. You will work closely with the Finance Manager and other team members to maintain financial stability and compliance within the duty-free shop.
Key Responsibilities:
Daily Sales Report: Reconcile daily sales reports and record transactions in MYOB accounting software. Ensure accuracy and completeness of sales data.
Expense Management: Monitor and track expenses, ensuring adherence to fiscal guidelines. Accurately record and maintain documentation for all expenses, including commissions and other financial transactions.
Cash Management: Conduct cash counts, prepare cash deposits, and maintain proper cash handling procedures. Investigate and resolve any discrepancies in cash transactions.
Bank Reconciliation: Assist in reconciling bank statements with internal records. Identify and resolve discrepancies in a timely manner.
Foreign Currency Exchange: Arrange foreign currency exchange as needed for business operations. Keep accurate records of currency transactions and exchange rates.
International Bank Transfers: Request and follow up on international bank transfers. Ensure adherence to internal and external processes, including company policies and regulatory requirements, while facilitating secure and efficient fund transfers.
Stock Record Keeping: Maintain records of stock for promotions, identify and manage bad stock, and track samples. Ensure accurate documentation of stock movements and adjustments.
Credit Sales: Follow up on credit sales, maintain records of credit transactions, and ensure timely payment collections.
Accounts Payable and Receivable: Process invoices, expense reports, and purchase orders. Ensure timely payments to vendors and follow up on outstanding receivables. Maintain accurate records of transactions.
Ordering Supplies: Effectively communicate with stakeholders to understand their needs and preferences, and accordingly, place orders for office supplies, toiletries, and other essential items using online platforms. Monitor inventory levels and ensure adequate stock at all times. Coordinate deliveries efficiently to meet the demands of various departments and stakeholders.
General Administrative Support: Provide administrative assistance to the finance department, including filing documents, organising financial records, and responding to inquiries from internal and external stakeholders.
Requirements:
Bachelor's degree in Finance, Accounting, or related field preferred but not essential.
Previous experience in a finance or administrative role preferred.
Proficiency in Microsoft Office Suite, particularly Excel, and MYOB accounting software.
Strong attention to detail and accuracy.
Excellent organisational and time management skills.
Ability to work effectively in a fast-paced environment and prioritise tasks.
Strong communication and interpersonal skills.
Knowledge of duty-free retail operations is a plus.
